ARTICLE I
This organization will be known as the Drama Club and this constitution with the accompanying by-laws shall govern the Drama Club.
ARTICLE II
The purpose of the Drama Club of Tri-State University shall be:
- To present one performance per semester for the entertainment and/or education of the TSU community.
- To develop the skills of members in all areas of production.
- To provide members an outlet for creative impulses.
- To build school spirit and campus community.
ARTICLE III
Any student or spouse of the student enrolled in Tri-State University may become a member of the Drama Club. Any employee or spouse may become an associate member of Drama Club without voting power.
ARTICLE IV
Decisions in the Drama Club will be made by one of three groups:
- Decisions related to organizational matters (meetings, dates, budgets, appointing directors and designers, etc.) will be made by the Executive Board.
- Decisions related to choosing plays and the election of officers will be made by the general body of Drama Club members.
- Decisions related to specific performance-related issues will be made by the directors of a show, in conjunction with the Faculty Advisor.
ARTICLE V
The officers of Drama Club, according to the rank will be:
- President
- Vice President
- Secretary
- Treasurer
- Student Senate Representative
- Publicist
ARTICLE VI
Candidates for all offices, except for President, will be elected yearly from the general body of members of Drama Club. The President’s position will be filled by the previous semester’s Vice President, so that a continuity may be preserved within the organization.
Vacancies will be filled according to the rank of the Executive Board.
The qualifications of the officers will be:
- Must be a member of Drama Club.
- Must be an active member.
- Must not be on academic probation
ARTICLE VII
The duty of the Executive Board is to organize and provide for theatrical productions.
- It shall be the duty of the President:
- To open and preside over all Drama Club Cabinet meetings.
- To expound and enforce a due observance of the constitution and its by-laws.
- To call for all meetings.
- To preside over the Executive Board during the term of office.
- To authenticate, by his/her signature when necessary, all the acts, orders, and proceedings of the Drama Club, declaring its will and in all things obeying its command.
- To fill or delegate all temporary vacancies not already defined.
- To perform such duties and/or acts required in an emergency situation where the approval or disapproval of the Drama Club is impossible to attain.
- It shall be the duty of the Vice President:
- To perform all the duties of the President in the absence of or at the request of the President.
- To arrange for the election of officers in the Spring semester.
- To preside at the session of the Drama Club during elections.
- To arrange for production rights pertaining to performances.
- To order scripts for upcoming productions.
- It shall be the duty of the Secretary:
- To keep a roster of all members and their addresses, and to provide this list to the Student Senate Representative at the end of each semester.
- To maintain and update an e-mailing list of all members and interested community members.
- To keep a written record of the minutes of all business meetings.
- To communicate between the Executive Board and the members of the Drama Club the minutes of business meetings.
- To communicate with the Drama Club all information related to upcoming productions.
- To notify all officers, committees, and senators of their appointments.
- To schedule rehearsal and performance space with the appropriate contacts.
- To submit all files and documents for archival filing to the Faculty Advisor at the end of the school year or term.
- To photocopy scripts as needed for productions.
- It shall be the duty of the Treasurer:
- To collect all bills due and reimbursements paid for the Drama Club and submit requests for money through the appropriate processes.
- To keep records of all costs incurred and incomes collected by the Drama Club.
- To make a treasurer's report at the end of each semester, which will be submitted to student government and repeated at the first meeting of the semester, which follows the report.
- To transfer all accounts and accounting to the incoming Treasurer during the spring semester.
- To arrange for appropriate change to be on-hand for performance nights.
- It shall be the duty of the Student Senate Representative:
- To attend all Senate Meetings or to appoint a replacement.
- To inform the Drama Club, through the Secretary, of all Senate Decisions.
- To carry proposals to the Senate from the Drama Club membership.
- To serve as a liaison between the Student Senate and Drama Club.
- It shall be the duty of the Publicist:
- To publicize all productions and activities to the University and surrounding community.
- To distribute for posters for each production.
- To regularly publicize Drama Club activities in the "Triangle" and WEAX.
- To submit press releases and photos to the appropriate public relations contact at the university.
- To keep an album of all paper cuttings and pictures related to Drama Club.
- To photocopy programs for each production.
- To record one performance of each production for archival purposes.
- To provide all files at the end of the school year or term to the Faculty Advisor for archival purposes.
ARTICLE VIII
Production personnel are appointed for the purpose of meeting specific needs related to each show. Future drafts of this constitution will outline common roles and responsibilities.
ARTICLE IX
MEETINGS
- Executive Board Meeting:
- The Board will meet at the beginning of each semester and discuss plans for the upcoming semester.
- The President of Drama Club will preside.
- The President will have the power to call special meetings, using the Secretary to notify all members of the cabinet about time, place, and date.
- The quorum will be by simple majority.
- General Meetings
- General meetings must be called at least twice every semester.
- One meeting is to discuss production needs for the current show.
- The second meeting is to vote on which show will be produced during the next semester.
- All Drama Club members must get the notice at least two weeks in advance for such a meeting.
ARTICLE X
The constitution may be amended through the following methods:
- Amendments must be proposed (or sponsored) and seconded by members of the Cabinet.
- Proposed amendments will be tabled for a week and the motion must be written in exact form and circulated to all members of the Drama Club. Voting will be done on the issue during the next general meeting of the Drama Club.
- It will need two-thirds (2/3) majority of the members present in that meeting to pass any amendment.
ARTICLE XI
The Cabinet may bring a no-confidence motion against any member of the cabinet. Such motion will need to be proposed and seconded by members of the Cabinet. It will need two-thirds (2/3) majority of members present to pass such motions. It will be the responsibility of the cabinet members or member to resign immediately if the motion is passed. Vacancies will be filled according to the rank of the Executive Board.
